How to Connect Your Hostfully Account to Jervis Systems

With the Jervis Systems-Hostfully integration, you can import your Hostfully reservations to Jervis Systems. From there, you will be able to edit access details for all your Hostfully properties and upcoming reservations. Once your details are configured, Jervis Systems will generate SET PIN codes for guests, cleaning companies, and maintenance personnel to use.

To connect Hostfully to Jervis Systems and set up PIN code access for guests, follow these steps:

  1. Sign in to your Hostfully account and Jervis Systems account. (Create your Jervis Systems account here if you haven’t already. For more help on signing up, see our guide here.)
  1. From your Hostfully account, navigate to the Integrations tab.
  1. Scroll down to the “Smart Home” integrations section and select the toggle to enable Jervis Systems. 
  1. You will be prompted to accept the terms. Once accepted, Jervis Systems will be activated.
  1. Select “Settings” to enable Jervis Systems for each of your Hostfully properties.
  1. Head over to your Jervis Systems dashboard, navigate to the Marketplace page and select the option to connect to Hostfully. 
  1. Once you select the option to connect, you will be brought to the pop-up screen below. You will be prompted to put in your Hostfully Agency UID.
  1. Here, you will need to input your Agency UID. You can obtain this by navigating to the Agency Settings in your Hostfully account. Scroll down to the bottom of the page to find and copy your UID.
  1. Return to the Jervis Systems Marketplace page and paste the code into the provided field on the pop-up form. Then select the “Connect” button.
  1. Once your Hostfully and Jervis Systems accounts are connected, go to your Properties page within your Jervis Systems account and click “Refresh Properties”. When the page had reloaded, you will see all the property listings imported from your Hostfully account. Select the red text or the three dots to the right of each listing to view and edit your property details. (Important: Be sure that your time zone details are set and correct for each of your properties.)
  1. Once your time zone has been set, you will see the status for the property change from “Incomplete” to “Enabled”. 
  1. Now, head over to the Devices page within your Jervis Systems account and connect to your smart locks and devices by selecting the “Import Devices” button. From there, select your smart lock or device system provider and follow the prompts to connect your smart lock account.
  1. Once your devices are imported successfully, you will want to assign your devices to your imported Hostfully properties. You can do this by selecting the drop-down list for the device you want to assign and checking the boxes for the properties you want it to be assigned to.
  1. Return to the Properties page. The property status indicator should be green for all Hostfully properties with assigned devices. This means that the property is fully configured for automated access. 
  1. To finish setting up automated access between Jervis Systems and Hostfully for your imported reservations, you will need to create a Trigger and an associated Custom Message Template. To create the template, navigate to the Templates and Triggers section of your account. Select the Custom Templates tab, and select the button to create a new template. 
  1. Create the template, being sure to include the variable [$LEAD_PINCODE$] so that the PIN code will be inserted into the email. 
  1. From there, head over to the Triggers tab and select the option to “Add trigger”.
  1. Configure the settings for the Jervis Systems Door Code Trigger to send your newly created custom email template to your guest, on the condition that a booking is confirmed. You will also need to input the Agency UID from Step 8. You can name your Trigger “Jervis Systems Door Code”. Select the Save button.
  1. While the email is now configured to send to your guest, we recommend that you set up your Hostfully Guidebook to include your SET PIN for easier reference and to include the most up-to-date information regarding the guest PIN and access instructions.
  1. You can confirm that automated access is set up and ready to go by navigating to your Reservations in Jervis Systems and confirming a SET PIN is created for an upcoming reservation. (Note: The reservation you select must have a check-in date within the following two weeks. Jervis Systems only applies SET PIN codes for reservations within a rolling two-week window.)

Success! You now have your Jervis Systems and Hostfully accounts connected, your SET PIN is created, and your access instructions are ready to be sent out to your guests.
