How to Connect & Setup Access for Your Beds24 Account
With the Jervis Systems-Beds24 integration, you can import your property listings and reservation details and automate property access via SET PIN codes for guests, cleaning companies, and maintenance personnel.
To connect Beds24 to Jervis Systems and set up PIN code access for guests, follow these steps:
Sign in to your Beds24 account and Jervis Systems account. (Create your Jervis Systems account here if you haven’t already. For more help on signing up, see our help guide here.)
From your Jervis Systems dashboard, navigate to the Marketplace page and select the option to connect to Beds24.
Once you select the option to connect, you will be brought to the pop-up screen below. Select the blue highlighted text to start the process of generating your invite code.
You will be directed to the Control Panel page in Beds24. Click on the “Generate Invite Code” button.
Be sure that all options are selected under “Read” and “Write” privileges. Click on the “Generate Invite Code” button at the bottom of the screen.
You will be directed back to the Bed24 Control Panel screen. Select the clipboard icon to copy the invite code you just created.
Return to the Jervis Systems Marketplace page and paste the code into the provided field on the pop-up form. Then select the “Connect” button.
Once your Beds24 and Jervis Systems accounts are connected, go to your Properties page within your Jervis Systems account and click “Refresh Properties”. When the page had reloaded, you will see all the property listings imported from your Beds24 account. Select the three dots to the right of each listing to view and edit your property details. (Important: Be sure that your time zone details are set and correct for each of your properties.)
Once your time zone has been set, you will see the status for the property change from “Incomplete” to “Enabled”.
The next steps will walk you through setting up automated access between Jervis Systems and Beds24 for your imported reservations.
Note: All of your messages sharing access info with guests will go through Beds24. We store the pin generated with each reservation on Beds24. You can use the [BOOKINGINFOCODETEXT:JERVIS_LOCK_PIN] variable in your Beds24 messaging.
To start setting this up, go to the Devices page and connect to your smart locks and devices by selecting the “Import Devices” button. From there, select your smart lock or device system provider and follow the prompts to connect your smart lock account.
Once your devices are imported successfully, you will want to assign your devices to your imported Beds24 properties. You can do this by selecting the drop-down list for the device you want to assign and checking the boxes for the properties you want it to be assigned to.
Return to the Properties page. You should see the property status indicator has turned green for the properties with assigned devices. This means that the property is fully configured for automated access.
From here, navigate back to the Marketplace page. Select the “Settings” button for Beds24.
Copy the Webhook URL by selecting the clipboard icon to the right. From there, select the highlighted Beds24 link.
From here, you will be brought back to the Beds24 Control Panel to the Booking Webhook configuration section. Paste the Webhook URL in the dedicated Webhook URL section.
You’ll want to do this for each of your properties on Beds24, which will be located in the drop-down tab above the API Access section.
In Beds24, navigate to your Account tab and find the Preferences section. Scroll down the page and you will find a section called “Booking Info Code Values”. Click into this box and add the value “JERVIS_LOCK_PIN”. Then save your changes.
Now, we want to set up the Beds24 email templates to send access codes out to guests. To do this, navigate to the Guest Management tab and select the Confirmation Messages tab. From the messages screen, scroll down and select the “edit” option for the “Booking Confirmation Screen and Email Message (last part)”.
Within the message, copy and paste the following text: Your door code is [BOOKINGINFOCODETEXT:JERVIS_LOCK_PIN].
This variable will allow the guest code to populate in the email. Be sure to save the template once you have finished editing.
You can confirm that automated access is set up and ready to go by navigating to your list of bookings in Beds24. Select one of your upcoming reservations. From there, select the “Mail & Actions” tab. Select the option to “Send Now” for the Booking Confirmation message. This will bring up the test message.
Instead of the [BOOKINGINFOCODETEXT:JERVIS_LOCK_PIN] variable, you should see a four-digit code.
Finally, find the same reservation from within your Jervis Systems account (in the Reservations tab). You should see the matching code in the SET PIN field.
Success! You now have your Jervis Systems and Beds24 accounts connected, your SET PIN is created, and your access instructions are set up to be sent out to your guests.
